About the Role
We are looking for a detail-oriented and proactive Accounts Payable Executive to join our Finance Operations team in Chennai.
This role will play an important part in managing the Purchase-to-Pay (P2P) process across our global operations. You will be responsible for ensuring invoices are processed accurately and efficiently, suppliers are paid on time, queries are resolved promptly and employee expenses are processed effectively.
You will work closely with suppliers, internal stakeholders and the wider Finance team to maintain strong financial controls and deliver a high-quality AP service.
The role also provides an opportunity to contribute to process improvements, automation and reporting, helping us build a more efficient and scalable Finance operation.
Key Responsibilities
Accounts Payable & P2P
Manage the Accounts Payable inbox, ensuring invoices and queries are reviewed and actioned promptly.
Set up new suppliers in NetSuite following the required approval and documentation processes.
Perform supplier call-backs to independently verify bank details and maintain strong payment controls.
Review and process invoice coding submitted by internal teams, ensuring accurate accounting and appropriate approvals.
Set up and maintain prepayment amortisation schedules in NetSuite for future service periods.
Monitor the invoice pipeline and proactively follow up on outstanding approvals with internal stakeholders.
Prepare and execute weekly payment runs and process ad hoc manual payments where required.
Reconcile supplier statements and investigate and clear outstanding or debit balances on the AP ledger.
Maintain regular communication with suppliers to resolve queries and ensure accurate and timely settlement of outstanding balances.
Support the processing of employee expenses and corporate credit card transactions.
Process Improvement & Reporting
Identify opportunities to improve AP processes, controls and workflows.
Work closely with the Accounting and Finance teams to enhance systems, automation and operational efficiency.
Prepare and maintain AP reporting and dashboards covering invoice volumes, processing times, outstanding items and workflow performance.
Provide accurate AP data and insights to support cash flow forecasting and working capital management.
Contribute to the standardisation and continuous improvement of Finance Operations processes.
About You
We are looking for someone who is organised, commercially aware and takes ownership of their work. You will have a strong eye for detail, a proactive approach to problem-solving and the confidence to communicate effectively with both internal stakeholders and external suppliers.
Essential Skills & Experience
Minimum 5 years' experience in a global Accounts Payable or P2P environment.
Experience working with NetSuite or a similar ERP system is highly desirable.
Strong understanding of Accounts Payable processes, controls and payment procedures.
Excellent attention to detail and a strong commitment to accuracy.
Strong interpersonal and communication skills, with the ability to work effectively with suppliers and internal stakeholders across different functions and locations.
Strong organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
Advanced Excel skills, including working with large datasets, reconciliations and reporting.
A proactive and collaborative approach, with a willingness to identify issues and drive solutions.
Experience within the maritime or information/data services industry would be advantageous.
